- When you issue the invoice
- One day after it's due
That's it. Two reminders. No customization. No flexibility.

Prerequisites
Before you start, make sure you have:
- ✅ A Stripe account (with invoicing enabled)

Step 1: Get Your Stripe API Key
This is the most technical part, but it's actually extremely simple.
- Log in to your Stripe dashboard → Go to https://dashboard.stripe.com
- Click "Developers" in the top menu
- Click "API keys" in the left sidebar
- Copy your "Secret key" (the one that starts with
sk_live_if you're on live mode, orsk_test_for testing) - Keep this safe — don't share it or put it in public places
This key is what Nudgexa uses to read your invoices from Stripe.
Step 2: Connect Nudgexa to Stripe
- Log in to Nudgexa → Go to your dashboard
- Click "Integrations" or "Settings" → Find "Add Integration"
- Select "Stripe"
- Paste your Secret key into the field
- Click "Connect"
- Verify the connection — Nudgexa will test it and confirm it's working

Step 3: Configure Your Reminder Schedule
Now the magic happens. This is where Nudgexa beats Stripe's native reminders.
- Go to "Reminder Settings" in Nudgexa
- Choose your schedule. Here are the recommended options:
Default Schedule (What We Recommend)
- 3 days before due date — "Hey, invoice #1234 is due soon"
- Day of due date — "Friendly reminder: payment due today"
- 3 days after due date — "Just checking in: invoice #1234 is now 3 days overdue"
- 7 days after due date — "We need to discuss this: invoice #1234 is 7 days overdue"
- 14 days after due date — "Urgent: invoice #1234 is 14 days overdue. Let's resolve this ASAP."
Why this works: Pre-due reminders get invoices in front of clients before they forget. Post-due escalation kicks in when it matters.
Aggressive Schedule (For High-Priority Accounts)
- Same as above, but add reminders at day 1 and day 10 after due date
- Use this for your biggest clients or recurring payment issues
Minimal Schedule (For Relationships)
- 3 days before due date
- Day of due date
- 7 days after due date
Use this for clients you worry might take offense.

Step 4: Test It
Before this goes to real clients, test it with yourself:
- Create a test invoice in Stripe (make it small, like $1)
- Set the due date for tomorrow
- Wait — Nudgexa will send your first pre-due reminder tomorrow
- Check your email — Make sure it looks good and your branding is visible
- Adjust if needed — Don't like the wording? Go back and change it
Step 5: Go Live on Real Invoices
Once you're happy with the test, enable it on all real invoices:
- In Nudgexa settings, toggle "Enable automated reminders"
- Choose which invoices get reminders (new invoices, all invoices, specific clients, etc.)
- Review your schedule one more time
- Click "Activate"
That's it. From this point forward, every Stripe invoice created will automatically get reminded on your schedule.
Best Practices
✅ Do This
- Customize your message — Don't send generic reminders. Add your company name, a personal touch.
- Monitor your DSO — Track your days sales outstanding before and after. You should see improvement in 2-3 weeks.
- Test your schedule — Some businesses find that early reminders (5 days before) work best, while others prefer more aggressive post-due follow-up. Pick your schedule, test it for 2-3 weeks, then measure DSO improvement.
- Keep escalation professional — Your tone should get firmer but never hostile.
- Follow up manually too — Automation handles 80%. The last 20% needs a human conversation.
❌ Don't Do This
- Don't change your schedule constantly — Give each schedule 30 days to show results.
- Don't use only pre-due reminders — You need post-due escalation to really move the needle.
- Don't copy-paste our templates word-for-word — Make them yours. Clients spot generic reminders.
- Don't ignore follow-ups — If a client says they'll pay Friday, follow up Friday. Automation isn't a set-and-forget tool.
- Don't remove Stripe's native reminders yet — Start with both, then decide if you want to disable Stripe's once Nudgexa is working.

Stripe Settings to Know About
While Nudgexa handles reminders, Stripe has a few settings worth knowing:

- Payment links: Stripe can embed payment links in invoices. Keep this on so clients can pay from the email.
- Automatic retry: Some payment methods have Stripe retry on failure. Leave this on (Nudgexa handles reminders for unpaid, Stripe retries for failed card charges).
Troubleshooting
"I'm not getting any reminders"
- Check that Nudgexa's connection to Stripe is still active (Settings → Integrations)
- Verify your reminder schedule is enabled
- Make sure the invoice's due date is set correctly in Stripe
"Reminders are going to spam"
- Email deliverability issue. Check your sending email address in Nudgexa
- Add your sending email to your DNS SPF records (we have a guide for this)
- Consider using your company domain instead of a generic email
"I want to stop reminders for a specific invoice"
- In Nudgexa, there's a per-invoice toggle. Turn it off and that invoice won't get automated reminders.
